Privacy policy
This policy explains what personal data Coachd collects, why, and what you can do about it. Coachd is run by AS Golf Retail Ltd (company number 13262746), Unit 1 Meadow Lane, Birstall, Leicester LE4 4EU. We follow the UK GDPR and the Data Protection Act 2018.
1. Who is responsible for your data
- Coaches and website visitors: we are the controller of the data about your Coachd account and your use of our website.
- Players: if your coach uses Coachd, your coach is the controller of your lesson data, and we process it for them under our Data Processing Agreement. Questions about your lessons and notes are best sent to your coach first. You can also contact us and we'll help.
2. What we collect
| Coaches | Name, business name, email, password (stored scrambled, never readable), logo and colours, your coaching guidance, your diary feed if you connect one, your voice sample if you create an AI voice, and your plan and billing history. Card details are handled by Stripe and never reach us. |
|---|---|
| Players | Name, email, password (stored scrambled), lesson recordings and transcripts, lesson notes, drills, practice logs, rounds and scores, swing videos you upload, messages with your coach, and questions you ask your coach's AI assistant. |
| Everyone | Basic technical data needed to run the service securely, such as device and browser type, and server logs. If you turn on notifications, a notification address for your device. |
Coachd is for adults. We don't knowingly collect data from anyone under 18.
3. Why we use it
- To run your account and the app: writing lesson notes, the player app, messaging, notifications and the AI assistant. Our lawful basis is the contract with you (or, for players, your coach's contract with us).
- To take payment for coach plans and keep financial records. Lawful basis: contract and legal obligation.
- To keep Coachd secure, fix problems and improve it. Lawful basis: our legitimate interests.
- To send account emails, such as password resets and trial reminders. We don't send marketing emails without your consent.
We don't sell personal data, and we don't use your recordings, notes or messages to train AI models.
4. Lesson recordings
Lesson audio is used only to write the notes, and it is deleted as soon as it has been transcribed. Notes are written to leave out injuries, health and other personal matters, and your coach checks every set before you see it.
5. Who we share it with
Only the providers that run Coachd for us, each under contract and only for that purpose:
| Provider | What for |
|---|---|
| Supabase | Database, file storage and sign-in |
| Cloudflare | Hosting the website and app |
| Anthropic | Writing lesson notes and the AI assistant's replies |
| ElevenLabs | Transcribing lesson audio, and AI voices |
| Stripe | Coach payments |
| Resend | Account emails |
| The fonts on our website |
Some of these providers process data outside the UK. Where they do, we rely on a UK adequacy decision or the UK's approved transfer safeguards. We may also share data where the law requires it.
6. How long we keep it
- Lesson audio: deleted once transcribed.
- Everything else: kept while the account is open. When a coach closes their account, their data and their players' data are deleted within 30 days, apart from records we must keep by law, such as invoices.
- A player can ask their coach, or us, to delete their account at any time.
7. Cookies
We don't use advertising or tracking cookies. The app stores your sign-in on your device so you stay signed in, which it needs to work.
8. Your rights
You can ask to see, correct, delete or move your data, object to how we use it, or ask us to limit it. Email [email protected] and we'll reply within one month. If you're a player, we may pass your request to your coach, as they control your lesson data. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
9. Changes
If we make important changes to this policy, we'll tell you in the app or by email before they take effect.
